Getting started

How do I start?

Create an account, add your business details and choose a membership. Then add a customer and create your first invoice. Review the invoice, payment details and reminder settings before sending.

How do accounting connections work?

Connect Xero, MYOB or QuickBooks Online from Settings to import supported customer and unpaid-invoice information. Use Sync now to refresh it. When a connected system reports an imported invoice as paid, Tockly updates its follow-up status. Supported sent invoices can also be uploaded for reconciliation. MYOB uses a supported online company file; sent Tockly invoices upload with individual descriptions, quantities, prices and matching tax codes. Xero and QuickBooks also receive the original invoice PDF; MYOB uses its own invoice layout. Connected accounts refresh on Tockly’s scheduled sync, and Sync now remains available for an immediate refresh.

Can I create an invoice in Tockly?

Yes. Choose New invoice, select or create a customer, add invoice items and payment details, then review and send it. You can also add an existing invoice for follow-up and attach the original.

Can I make an invoice draft from a photographed note?

Use Tockly Capture to photograph a work note, review the suggested customer and invoice items, then edit the draft before saving or sending it.

Can customers pay an invoice online?

Yes, where Stripe payments are enabled. Connect your business Stripe account under Online payments in Settings. Customers can use a secure link on the invoice or reminder and pay with available methods. Stripe sends the money to your business, and Tockly updates the invoice after payment is confirmed.

Reminders

Who does a reminder come from?

By default, reminders use the business's Tockly reminder address and replies go to the account email. A business can instead open Settings, choose Manage sender and connect Microsoft 365 or Google so reminders come from its own approved business address.

What is the default timing?

By default, Tockly prepares an upcoming-payment reminder one day before the due date and a single overdue reminder on the fifth day of the month after the invoice was due. Individual invoices can use another available frequency or no follow-up.

What can a recipient do?

A recipient can report payment, promise payment within an available period or query the invoice. Those responses are recorded against the invoice for the business to review.

Are email opens exact?

No. Email privacy features can block or automatically load tracking images. An open is useful supporting information, not proof that the recipient personally read the reminder.

Accounts and data

How do I change the business name in reminders?

Open Account details and update Business name. The saved name is used in the sender, subject, message heading and sign-off.

How do I disconnect an accounting system?

Open Settings and choose Disconnect beside the accounting connection. This stops future access. Imported open invoices remain until you delete them or they are paid. Paid imported invoices ordinarily leave active storage 30 days after payment is recorded. Issued Tockly invoices are archived when removed from the workspace, while permanent account deletion can remove them. Export the records your business needs to retain first.

How is my password stored?

Tockly does not store readable passwords. New passwords are uniquely salted and hashed using bcrypt. Older PBKDF2 password records are upgraded after a successful login.

More ways to work

Capture, dictation and saved photos

Use Capture to propose charges from a work note or worksheet, or dictate an invoice. Check names, items, quantities, prices and tax before saving or sending. Equine worksheets have saved review history and source-photo controls; saving a photo is separate from sending it for analysis.

Calendar subscriptions and notes

Create dated notes in Tockly and subscribe to selected entries in Apple Calendar, Google Calendar or Outlook. Edit entries in Tockly; refresh timing depends on your calendar app. Anyone with the subscription link can access the selected feed, so keep it private and disconnect it if exposed.

Languages and invoice wording

Choose a language using the header control and save it as your default if you wish. General and Equine invoice labels use the saved invoice language. Your customer names, notes and descriptions stay as entered. Some specialist or preview screens and generated documents may still display English.

What does a recovery handover do?

It prepares a summary of the invoice, communications, call notes and recorded customer responses for you, with the invoice attachment where available. It does not appoint a collection agency or lawyer. Review the summary and decide whether and to whom to forward it.

How can I permanently delete my account?

The account owner can open Account details and choose Delete account. Read the confirmation carefully and export invoices, files and audit history first. This affects the workspaces using that account, stops reminders and cancels its subscriptions. Subscription cancellation alone does not delete data. Recovery copies and legally required records follow the Privacy Policy. Contact contact@tockly.ai if you cannot access the deletion control.

What is available in Tockly Equine and TocklyVet?

Equine adds horse and owner records, care history, daily charges, worksheet review, ownership-split invoicing, departure passports, stable reports and printable templates. TocklyVet is an invitation-only practice trial covering patients, clinical records, appointments, hospital tasks, diagnostics, stock and billing. Specialist access and billing are separate from the standard Tockly plans.
